  • Smart filing rules – filing rules determine document storage location according to user defined indexing characteristics for content organization and implementation of working methodologies within the enterprise. DriveU filing rules assist in minimizing user errors and simplifying workflow by creating a common business filing language.

    The DriveU Smart filling rules feature is based on a set of business rules that can be easily configured by the system administrator. Once the organization has defined a "Project File", all projects files will have the same structure in terms of folders, sub-folders and relevant documents filed in each folder. It allows:

    Implementation of a filing methodology across the entire organization
    • To define, implement and enforce a common "Business Language" for all users and for all projects
    • The automatic filing of any document/drawing/ project approval document to its correct folder
    • To avoid filing errors
    The DriveU Smart filling rules feature enables using meta-data for folder names. Each sub-folder of the customer's file might have a fixed name or a combination of a fixed name that includes relevant meta-data properties.

    For instance, the Customer's root folder is defined as "Customer <CustName>" where "CustName" is a meta-data property taken from the customer's folder class. The document will be based on the customer name automatically stored into the folder of this customer. ...less

    The "All in one" feature gathers information from all relevant sources as follows:
    • Incoming documents — these documents usually initiate the process, e.g.:
      • Leasing/Loan request, Claim notice and attachments, Incoming mail correspondence

    • Customer folder — to view historic information about the customer available in the electronic archive, e.g.:
      • Contract, Repayment schedule, Previous correspondence, Accounting documents, Approval documents, Registration book, Juridical documents, Signature specimen, etc.

    • Process related data — refers to instructions for this task, input fields for this task, etc. Quick Search for a specific task in my work queue or in another user's queue whenever a customer is calling over the phone, e.g.:
      • Internal task instructions, Process start day, Task priority, Incident day, Remaining time period for processing, Remaining steps of process, etc.

    • Customer’s related data — this information is compiled from legacy systems, e.g.:
      • Contract staus, Remaining repayment amount, Customer participation, etc.

    • The Correspondence and task consulting module within the "All In One" screen allows adding notes to the case:
      • Enabling the collaboration and sharing of information, e.g: During the processing of the particular steps the user has the option to add at any time a note to communicate and document his comments, instructions or decisions
      • Using of notes visible only to selected organizational entity/ies, e.g.: The added notes can be privatized for authorized persons only

    Unified Work Queue
    In the FileNet Workplace, the end user cannot see all tasks on one screen. The user must select a different queue each time in order to view all his tasksDriveU provides a Unified work queue:
    • Displays all user tasks on a single desktop (across all work queues)
    • Provides quick navigation throughout the queue (across all work queues)
    • Enables quick and efficient work
    • Increases productivity by: prioritizing, filtering and sorting the work (across all work queues)
    Unified work queue provides the following features across all queues to increase the user's productivity
    • Prioritizing the work, both manually and automatically by a set of predefined rules
    • Filtering the work, for instance, dealing only with tasks in a state of “Submitting for Approval” in order to send work to the authorized person.
    • Sorting the work by Priority or Entry Time or Required Completion Time to deal with the “most urgent” tasks first for instance.
    • Quick Search for a specific task in my work queue or in another user's queue whenever a customer is calling over the phone.
    • Group tasks by common set of fields .

    Task Assignment
    One of the major enhanced capabilities of DriveU within the BPM module is the ability to have the optimal match between business tasks created in the different business processes and their designated responsible owners.

    The solution supports different matching algorithms based on system matching and/or business rules matching.

    The task allocation mechanism strongly relies on the "Organizational Chart" manager which defines the relations between the business units, the roles and groups in the system and the definition of users within the different roles and organizational units of the chart.

    The "System Based" matching matches a process task and the designated organizational entity and is based on the following combination:
    • Role: can be one of the following:
      • Originator: holds in run time the user that initiated this process.
      • Last: holds in run time the user that has completed the previous task.
      • Any other named role: the system allows to define "logical" roles participating in the process and then map these roles to specific organizational units in the chart (users/groups/departments/roles)

    • Algorithm: can be one of the following:
      • By Load: allocates the task to the user having the minimum business tasks in his queue among the users who are members of the selected Role.
      • Exclusive (Round Robin): allocates the task equally between the users who are members of the selected Role.
      • One Of: allocates the task to the entire selected organizational unit as a "group assignment". The first member of the group will pick it up and lock it from other members in the group.

    • Match: The user will be selected within the "same" organizational unit as the previous user dealing with that process, up to 3 levels (e.g. The same department and the same branch)
      The "Rule Based" matching matches a process task and the designated organizational entity and it is based on the following combination:

    • Rule: a Boolean phrase such as "LoanAmount > 10000" where the "LoanAmount" is one of the fields defined in the business process.

    • Role: can be one of the following:
      • Originator: holds in run time the user that initiated this process.
      • Last: holds in run time the user that has completed the previous task.
      • Any other named role: the system allows to define "logical" roles participating the process and then map those roles to specific organizational units in the chart (users/groups/departments/roles)

    Impersonation
    The efficient control and management of processes requires to provide the responsible person with all relevant information regarding the current status of running processes.
    The Impersonation feature increases work efficiency by allowing to impersonate as a different user

      • Managers – to see “what’s going on” in his employees’ work queues
      • Impersonating absent users and forwarding their tasks to others
