DriveU/Capture
Effectively handles the process of document capture. It is designed to support the day-to-day high volume document capture operation, as well as intensive in-house conversions of an existing archive. DriveU/Capture handles batches of related as well as unrelated documents and features process auditing, control and report tools, to provide a full production environment. DriveU/Capture provides tools to capture virtually any type of document, whether it is paper or digital based, and provides additional functionality to control the flow of batches between a scanning and indexing station, keeping an audit trail of the capture process, producing performance and productivity reports and provides legacy systems connectivity. The efficient, cost-effective box management system for storing the original documents for easy retrieval from DriveU, if needed in occasional cases, completes the modules functionality.
DriveU/Index
The Index module allows adding further index values to those already entered during the capture process, if so required. This module supports automatic as well as manual indexing. The manual part is designed to support production environments efficiently and comfortably with parallel processing, predefined controlled value lists and legacy systems integration for index verification. The automatic part includes an adjustable interface to legacy systems for automatic index value retrieval. DriveU / Index provides:
- Creation of hierarchical dependencies between index fields
- Transparent interpretation of index value codes to their specific wording
- Automatic grouping of related fields
- Automatic indexing and index value verification
- One-for-all indexing of related documents
DriveU/Back-office
The back-office module is a background application. This application runs unattended and performs various tasks such as:
- Document prefetch
- Connectivity to existing legacy systems via transaction plugins
- MailRouter for mail and fax import
- GenericImport for importing and indexing documents from shared folders
- AutoIndex for filling indexes based on a main index (Contract No, Claim No)
- etc.
DriveU/All-in-one User Interface
The All-in-one module serves as a user interface for all work and allows for retrieving and managing documents and tasks.
Document retrieval is defaulted to documents related to the current task but documents can be searched according to any of the assigned index fields. Full text search may also be applied. The retrieved documents may be filtered, sorted or grouped into static or dynamic tabs in order to quickly find the set of documents that is of interest for the current questions or decision. Among other features the module further offers: checkin/checkout, history of document life cycle, version control, document re-indexing etc.
The All-in-one interface at the same time allows to control, manipulate and communicate work items in the In-basket. Active tasks are displayed and can be sorted and filtered at will. Any work item processing can be postponed to a future date in which it will return automatically to the In-basket. Major features are:
- Ad hoc queries capability enabling immediate access to information, providing customers with on-line answers
- On-line work item status reporting
- Data Entry Check mechanism, which automatically examines each field data entry, according to any required algorithm
- Filtering capability, application on any folder or document
- Transfer of work item between users and groups for observation, consultation or processing
- MS office integration streamlines processing by enabling immediate addition of new documents
- A complementary automatic reminders mechanism
- MS Outlook integration for work queue items access (optional)
- Web browser interface (optional)
- On-line workload and historical performance analysis for managers
DriveU/Site Administrator
The Site Administrator module is a complete set of system administration tools, which enables the entire management and monitoring of the system. This module supports the user in defining his specific personalised user interface that best supports his day-to-day needs. Above that it provides an outstanding view of the organisational structure, and includes the scope of predefined roles within that structure. The view provides better control over the information flow within the organisation, and an exact definition of the work scope for each individual employee, or workgroup.
Site Administrator capabilities includes:
- Personalisation of existing screens (new buttons, fields, descriptions, etc.)
- Create new screens or dialog windows
- Definition of the algorithm of the task assignment management (By Load, Exclusive (Round Robin), Once of)
- Definition of organizational units (branches, departments, teams)
- Definition of Roles structures and contents.
- Definition of User Profiles
- Files Definition of all information categories - folders, groups and users etc.
